Terms and Conditions for Camp Registration

By submitting this registration form, I confirm that I am the parent or legal guardian of the child being registered, or that I am otherwise legally authorized to complete this registration.

1. Registration Information

I certify that all information provided in this registration form is true, accurate, and complete to the best of my knowledge. I understand that incomplete or incorrect information may affect the participant’s enrollment, placement, safety, or ability to participate in the camp program.

2. Parent or Guardian Consent

I give permission for the registered child to participate in the selected camp, class, workshop, activity, or related program offered by Cultural Bytes.

I understand that camp activities may include educational activities, games, indoor and outdoor activities, group participation, technology-based activities, movement, and other supervised activities related to the program.

3. Payment and Enrollment

Registration is not guaranteed until any required payment has been completed and confirmed. If payment is not completed, the registration may remain pending, be cancelled, or be moved to a waitlist.

If the camp reaches capacity, the participant may be placed on a waitlist. Being placed on a waitlist does not guarantee enrollment.

4. Cancellations, Refunds, and Changes

Refunds, credits, transfers, or cancellations are subject to Cultural Bytes’s refund policy.

Unless otherwise stated:
– Cancellation requests must be submitted in writing to info@cultural-bytes.org.
– Refunds may not be available after 7 days before the camp start date.
– Registration fees, processing fees, or materials fees may be non-refundable.
– Cultural Bytes may cancel or reschedule a camp due to low enrollment, staff availability, weather, facility issues, emergency circumstances, or other reasons beyond its control.

If Cultural Bytes cancels a program, families will be offered a refund, credit, or transfer option when possible.

5. Health, Medical, and Emergency Information

I agree to provide accurate medical, allergy, emergency contact, and special care information for the registered child.

I understand that it is my responsibility to notify Cultural Bytes in writing of any medical conditions, allergies, medications, dietary restrictions, behavioral needs, or other circumstances that may affect the child’s participation or safety.

In the event of an emergency, I authorize Cultural Bytes staff to contact emergency services and/or seek medical assistance for the child if I or the listed emergency contacts cannot be reached promptly. I understand that I am responsible for any medical costs or expenses that may result.

6. Illness and Safety

For the safety of all participants and staff, I agree not to send the child to camp if the child is sick, has symptoms of a contagious illness, has a fever, or has been advised to stay home by a healthcare provider or public health authority.

Cultural Bytes reserves the right to contact a parent or guardian and require pickup if a child becomes ill, appears unable to participate safely, or presents a health or safety concern.

7. Drop-Off, Pick-Up, and Attendance

I understand that children must be dropped off and picked up according to the camp schedule and procedures. The child may only be released to a parent, guardian, or authorized pickup person listed in the registration information unless prior written authorization is provided.

Late pickup fees may apply according to Cultural Bytes’s policies.

8. Participant Conduct

Participants are expected to behave respectfully toward staff, instructors, other participants, property, equipment, and the learning environment.

Cultural Bytes reserves the right to remove a participant from the program if the participant engages in unsafe, disruptive, aggressive, discriminatory, or inappropriate behavior, or if continued participation creates a risk to the participant, others, staff, or property. Refunds may not be provided in cases of removal due to conduct.

9. Personal Belongings

Cultural Bytes is not responsible for lost, stolen, or damaged personal items. Families are encouraged not to send valuable items unless required for the program.

10. Assumption of Risk

I understand that participation in camp activities may involve ordinary risks, including but not limited to minor injuries, accidents, illness, interactions with other participants, use of materials or equipment, and indoor or outdoor activity risks.

I acknowledge these risks and agree that the child may participate in the selected program. Nothing in these Terms and Conditions is intended to waive rights that cannot legally be waived under applicable law.

11. Privacy and Use of Information

The information collected through this registration form may include parent or guardian contact information, child information, emergency contacts, medical or allergy information, registration details, payment-related information, and other information necessary to administer the camp program.

Cultural Bytes uses this information to process registrations, manage attendance, communicate with families, provide appropriate care, process payments, maintain records, and operate the camp program.

Cultural Bytes does not sell children’s personal information. Information may be shared only when necessary with staff, service providers, payment processors, emergency responders, or as required by law.

12. Online Registration for Minors

This registration form is intended to be completed by a parent or legal guardian. Children should not submit personal information through this form without parent or guardian permission.
